Using technology to support business needs due to rapid international expansion
The background
Our client is headquartered in Brazil and has ambitious plans to expand globally. They have recently acquired businesses in the US, China and Singapore, with plans for further acquisitions in other countries. A number of Brazilian employees have been sent to work in these countries to support the integration of the new organisations, to embed their culture and to ensure support with developing the required skills locally.
The challenge
The speed at which employees are required to be deployed to these new locations is making it challenging to maintain overall visibility of how many people are working internationally, when they started their assignments and when they are expecting to return. The need for the business to have the right people in the right place at the right time is also creating difficulties in keeping track of who is working in each country and what the associated tax filing and immigration requirements are. Our client explained
“We were trying to manage everything on excel, but that didn’t feel like a robust enoughplatform as it was easy for people to make mistakes or set up duplicate cases. We had no way to centrally trackhow long people were going to work in different countries for, what work permits were required, what the local taxfiling and reporting requirements were and when they were due. We had no data available to us to enable us tomake better decisions regarding assignments.”
Global Mobility Manager
Why they chose Workia
They reviewed a number of solutions available in the marketplace. They felt that many of them were effectively excel spreadsheets, which they were concerned could leave them with the same problems as they were currently facing. They chose Workia because, in their assessment, it provided the most robust platform, combining a “single source of truth” with useful tracking capabilities, an oversight of the entire population and helpful insights into immigration matters, amongst other things. It also came across as user friendly, with minimal time required to train people on how to use it and transition existing information into Workia
How they used Workia
They now use Workia to track all new employee moves and are transitioning existing moves to Workia. It has met their expectations in terms of being user friendly, easy to upload information and requiring little (no) formal training. “Workia is amazing, it has transformed the way in which I do my job, making it straightforward to monitor international moves. The tracking capabilities are the best element for us, making it straightforward to identify what action is required on a proactive basis.”
